In be.ENERGISED under Settings/Mobile App you will find the item "Legal Documents".
From now on, you have the option here to upload terms and conditions for the use of your app, which will then be displayed to your customers in the app. Customers will then be prompted in the app to accept your terms and conditions. Only once these have been accepted can customers continue to use your app.
The changes in the mobile app will be applied with the next version release. From that point on, if you have uploaded a document with your terms of use, users of your app will then have to accept them in order to proceed with the app. |
Steps in be.ENERGISED
In the first step in be.ENERGISED, go to the Settings/Mobile App tab and then to the "Legal Documents" item.
Go to "Add legal document." You will then be prompted to enter the version number of the document. The version number is relevant because a published version of the uploaded document cannot be deleted, only replaced by newer versions.
After that, go to "Save legal document".

You have now created an entry in "Draft" status. You can see which version it is and when this entry was last updated.
Before the legal document is published, you can still delete this entry using the "Delete" button.
Under "Edit Legal Document" you have the option to select the language of the document and then upload a corresponding PDF document in this language.
To do this, select a language from the drop-down menu in which your document is written and confirm the selection with "Save new locale". Since this is the first language you add, you will immediately be prompted to upload the actual document in PDF form. You can do this by drag and drop. Then click on "Save legal document" to upload the document.
You can then add more languages. To do this, simply go to "Add new language". Follow the steps as above.
In addition to the language, you will also see if this is your default language for the document. The default language determines which document app users will see if no specific document has been uploaded in their language. To change the default language, go to "Edit legal document information". Here you can set the default language if you have added multiple languages.
If you want to check your uploaded document afterwards, you can download it using the "Download legal document" button.

After you have uploaded the document and made all settings, you can publish the document by clicking on "Publish".
The status will now change to "published". Once your document is published, it cannot be deleted as mentioned above. It is also not possible to edit the entry, add a new language or upload a new document.
To change the PDF, you need to add a new legal document entry, with a new version number. Then, once you publish it, the "old" entry is archived and only the new document is used for the app.
What happens in the app?
In the app, a pop-up window alerts the customer that there are new terms of use, which they must accept. Only after the customer has accepted the terms of use, he can continue to use the app.
Where can I see in be.ENERGISED whether a customer has accepted the terms of use?
In be.ENERGISED, you can see in the CRM contact's data sheet in the "Privacy" tab under the "Consents" item whether they have accepted your terms and conditions, with version number and date.
