In be.ENERGISED, you can view the invoices and credit notes of your customers under Finance/Record-keeping/Invoices or Credit notes.
Please note that viewing, creating and editing invoices requires the corresponding rights. Not every be.ENERGISED license has access to these rights. Therefore, please check whether your license includes the respective right and whether you have to activate it for your user group, if necessary. More information about the general rights management can be found here. |
Here you can see both the automated invoices/credit notes and the ones you have created manually. Since the menu for invoices and credit notes does not differ substancially, we will go into more detail about the individual options in the "Invoices" area below.
Create new invoice
You can create a new manual invoice using this button. You can find more detailed information about creating manual invoices in this article.
Date filter
The date filter allows you to limit the displayed invoices to a certain period of time.
Filter
With the Filter button you have several options to filter your invoices in even more detail.
1) Contact
Here you can filter the displayed invoices according to a specific CRM contact.
2) Document state
Here you can filter by one of the 3 document statuses (Draft, Open or Completed).
3) Process steps
This item is no longer in use and therefore can be ignored by you as a customer. The item will be removed in the future.
4) Document prefix
Here you can filter invoices by one of your created invoicing numbers.
5) Currency
Here you can filter by a currency.
6) Document tags
This item is no longer in use and can therefore be ignored by you as a customer. The item will be removed in the future.
7) Sales employee
Here you can filter for invoices that are assigned to a one of your specific sales employees. Sales employees can be added in the invoice data sheet. You can choose from all your users that are stored under User management/Users/User list.
8) Sales partner
In every invoice you have the possibility to enter a sales partner in the tab "Additional information". You can choose from your CRM contacts here.
Display X records
This drop-down menu allows you to specify the number of records displayed per page. The choices are 10 (set by default), 25, 50, 100, 200 or 500 records.
Search field
You can also use the search field to filter for specific invoices.
You can search for the following parameters:
1) Document number
2) Title of the invoice
3) Name of the client
4) Client number
5) Item name within the invoice
General information
In the overview of the invoices displayed to you, you have several pieces of information at a glance.
Doc. no.
Here you can see the document number of each invoice. This is made up of the number prefix which has been set in the respective invoicing number and the invoice number (consecutive).
Only invoices with status Open or Completed have a complete document number. Invoices with the status Draft have only the number prefix of the respective invoicing number displayed as document number. |
Title
In this column you can see the title of the invoice and its status. For automatic invoices, the title is determined by the settings in the respective invoicing number in the "Name" field. For manually created invoices, the name can be freely selected.
As mentioned above, invoices can have the status Draft, Open or Completed.
Only manually created invoices can have the status Draft! Automatically generated invoices always have Open as initial status. As soon as an invoice is paid, it receives the status Completed. Only invoices in Draft status can be deleted. Invoices with the status Open or Completed can only be cancelled by issuing a credit note. |
Client
In this column you can see the invoice recipient, as well as his client number according to the CRM contact.
Net amount/Total amount
Under Net amount you can see the net total price of the invoice, under Total amount you can see the total amount of the invoice including taxes.
