With the Export Wizard you can easily filter and export desired information. In addition, you also have the option to save configured filters as a template or to generate automated exports, via e-mail or via upload to a desired FTP server.
Please note that for using the Export Wizard the corresponding rights are necessary. Not every be.ENERGISED subscription has access to these rights. Therefore, check whether your subscription includes the respective right and whether you have to activate it for your user group, if necessary. More information about the general rights management can be found here. |
The exported data is restricted to user groups and their rights regarding the visibility of the instance data. The decisive factor here are the settings made for user groups under User Management/Groups/Group List under "Rights" in the "General Settings" tab.
Here you define whether a user of this group: a) can see only his information. b) can see his information as well as all information of entities subordinated to his entity. c) can see all information.
Please note! When creating an export, the system registers the user who created this export and its entity. Thus, user groups of the same entity with possibly more limited rights still have access to these exports in the export history. Ex: A user of the group "Administrators" of entity X creates an export. As an admin, he has access to the entire instance, so the data of the entire instance is also in the export. A user of the group "Technicians" of entity X with the export wizard permission, but limited rights to the own entity, would then see the export of the administrator in the export history, including all data. |
The Export Wizard works with the following browsers:
- Microsoft Edge
- Google Chrome
- Firefox
The Export Wizard can be found under Settings/Exports/Export Wizard.
In the export overview you can view existing configurations. By clicking on the download icon, you can download the generated export again.
In the "Automation" column you can see whether it is an automated export and at what interval it is generated.
The "Aggregation date range" period shows you the period that you define in step 6 (see below).
With a click on the blue pencil symbol, you can view and edit the selected parameters of the generated export or automate an existing export according to your requirements:
Here you can also see which automations are already configured for this export and remove them at any time with the delete button.
In the export history you can see the history of previous export processes and download or delete them again.
To create a new export, click on "New export" in the export overview.
If you now create a new export, you have the option to select the parameters for the data export as desired.
To better illustrate the procedure, the following steps are illustrated using a charge log export.
Step 1:
In seven steps you can configure your export according to your wishes. First, select the desired type from the list. For this example, the export type "Charge Logs" is selected.
Only one type can be selected at a time. The selected type is highlighted in dark gray. By clicking on "Next Step" you continue with the configuration of your export.
Step 2:
In the next step you have the possibility to select the fields you need. You can select individual fields to be included in the export or "Select All" to export all available fields. You can also reset the previously selected fields by "Unselect All". After you have selected all the fields, simply click on "Next Step".
Step 3:
In this step you can change the order of the selected fields individually if necessary. You can work via the arrows in the menu guide or also move the fields up or down using the "drag and drop" function. Here you also have the option to delete fields from the export. Of course, this menu item can also be simply skipped.
Step 4:
Filters for the export can be set here. Depending on the export type, you have different selection options here.
In the case of a charge log export, for example, you have the option of:
a) set a time period for the charging processes: In the case of a charge log export, the end date of the charging process counts. For example, if you set the time period to 01.12.2021-31.12.2021, then all of your charging processes that have an end date in this time period will be included.
b) filter by the invoice date. In the export you will then only see the charging processes for which this invoice date (InvoiceDate column) applies.
c) filter by companies from your company structure: Here you have the companies available which you have created under User management/Companies/Registered Companies. You can select multiple companies here.
d) filter by charging point, more precisely by charging station: Multiple selection is also possible here.
e) filter on one or more identification media
f) filter by charging status: You can choose between stopped, started, waiting_for_start_transaction or roaming_waiting_for_start_transaction in the roaming case. Several statuses can be selected here.
g) set a filter on the connector type
h) filter on a specific account document: The export will then include the charging processes of the document. Please note that only documents, that are available in your be.ENERGISED instance can be selected here.
i) filter by the rates you have set: You can select all rates that you have created under Finance/Tariffs and invoicing/Rate management. The export will then contain all the charging operations to which the selected tariff(s) has/have been applied.
j) filter by the roaming types of charging processes. Here you can choose between "Internal" (charging processes at your charging stations), "External" (roaming charging processes at external charging stations that are not registered in the COMMUNITY), "COMMUNITY" (all roaming charging processes within the COMMUNITY; includes charging processes at your charging stations as well as at external COMMUNITY charging stations) and "Hub" (roaming charging processes via the be.ENERGISED Hub).
k) set, in case you support NFC Payment, a check mark on "paid with NFC: Yes/No"
Should you wish to receive the entire export unfiltered, you again have the option to skip this step. To do so, click on "Skip" to proceed to the next step.
Step 5:
You will now receive a preview of your requested export and can filter the preview again using the calendar function in the upper right corner.
Step 6:
In this step you have the option to automate your export. You can also skip this step and edit or automate the export at a later time.
When automating the export, you can set a time interval. This determines at what time you will receive the export automatically (daily, weekly, monthly, etc.).
As soon as the monthly export is activated, the data of the previous month will be exported on the first of the month. Date filters are not taken into account here. |
Also, you have the possibility to accumulate data within a certain period of time.
With this check box, it is possible to define the data selection for the automated export. If a check mark is set here and a time period is selected, then the data will be exported within this time period. In the automated export this means concretely that when using the field "Accumulate data within a defined date range", in the automated export all data within this period are included. In these exports, the new data is simply added to the old data.
Ex: You have configured a monthly export. In addition, you have defined an aggregation period (accumulate data) from 01.01.2023 to 31.07.2023. The monthly automated export of January contains all data from 01.01.2023 to 31.01.2023. The monthly export of February contains all data from 01.01.2023 to 28.02.2023 and so on. The data aggregation would end on 31.07.2023. |
You can either receive the automated export by e-mail or have it uploaded to an FTP or sFTP server.
Step 7:
In the last step, you finalize your export. Here you can enter a name for the export and a description of the configured export. Furthermore, you can change the desired separator for your CSV file if desired.
There is also the option to download the data directly as XLSX file. You can also select the desired decimal separator here.
Downloading in XLSX format is not possible if the amount of exported data is too big. In this case, the XLSX option is grayed out and not selectable. However, exporting as CSV is possible.
You have options to save or download the export and save the configuration at the same time.
If you select "Save", the export will not be available for download in the export history.
Selecting "Save & Download" makes the export available for download in the Export History.
