This article is intended to provide information about which settings in be.ENERGISED are decisive for the language output of invoices and which language is used for e-mail templates.
What are email templates?
Email templates are primarily relevant for the automated invoicing function. Email templates are email layouts including text, which can be stored in be.ENERGISED and then used accordingly.
Email templates can only be created via ChargePoint Austria. You do not have the possibility to create such templates in be.ENERGISED. If you are interested, please contact your direct contact person.
E-mail templates can be stored in different languages. When which language version is used, you will find out below.
Invoice language
When creating an invoice, there are different settings with different prioritizations that determine the language used when creating an automated invoice.
Prio 1
The correspondence language stored in the CRM contact is used for a created invoice, provided that the item "CREATE INVOICES IN THE CUSTOMER'S LANGUAGE?" is set to YES under Finance/ Rate Management/ Automated invoicing in the "Internationalization" tab.
The correspondence language is set for CRM contacts under "Edit" in the "Additional information" section.
Prio 2
If you have not activated the above function or the CRM contact does not have a correspondence language stored, the setting for "INVOICE DEFAULT LANGUAGE" will be applied.
As the info text here already says, this setting is taken into account if no language has been assigned to the CRM contact or the "CREATE INVOICES IN THE CUSTOMER'S LANGUAGE?" function is set to NO.
Prio 3
If none of the above settings have been made, the English language is used as a "fallback".
Mail Templates and Their Language Versions
Email templates can, as mentioned above, only be created on request by the ChargePoint Austria development department. These can then be stored either in the invoice number range or in the configuration for the automated invoicing function.
Prio 1
Primarily, it is taken into account whether an email template is stored in the invoice number ranges. You can access the configuration of the invoice number ranges in be.ENERGISED under Finance/ Settings/ Invoicing numbers. In the editing menu of this, you can select the appropriate template from the drop-down menu in the "Mail template" item in the "Mailagent queue" area. If you have not commissioned any email templates, you will not see any options in the drop-down menu.
Prio 2
If no mail template is stored in the invoice number range, the system checks whether a template is stored in the configuration for automated invoicing.

Language Versions of Email Templates
Email templates can be stored in one language or in multiple languages. To achieve language switching within an email template, a so-called "switching logic" must be implemented for it. This can only be done by the development department at ChargePoint Austria. In this case, please contact your direct contact person.
If the "switching logic" is activated for the mail template, the languages will only change if a correspondence language is stored for the CRM contact.
Sub-CPO crediting
When crediting Sub-CPOs, the credit note/self-bill language from the configuration under Finance/Tariff Management/CPO Crediting process is used.
If no language is set here, the credit note/self-bill to Sub-CPOs will automatically be created in English.
Mail dispatch for credit notes to Sub-CPOs
The email template is taken from the invoice number range. However, it is not possible to switch the language in this case, since the language of the creator of the credit note is always used.
